Privacy Policy
Xanthos Systems and its affiliates recognize that its customers and users expect that the individual personal information provided to it and generated by use of the Workplace Risk Management Platform ™ (the “Platform”), will be used internally and not disclosed to unauthorized persons or entities. Xanthos Systems also recognizes that law concerning this subject is enacted at the state and federal levels, and wishes to assure users that it complies with applicable existing personal information privacy laws, and will continue to do so as new laws are enacted. Xanthos Systems collects personal information for the purpose of administering the Platform and maintaining the accounts of its customers. This information is not collected or generated for resale or disclosure to unaffiliated parties. If an insured employer ("Insured Employer") or an employee ("Employee") elects to cease using its account or it otherwise becomes inactive, or if the applicable insurer ("Insurer") ceases to provide the Platform as a service to its insureds, Xanthos Systems will continue to adhere to the privacy policies and practices described here with respect to the personal information collected during the term of the service.
Information Collected and Generated
Certain identifying information concerning an Insured Employer, its Employees, and certain related entities, such as insurance brokers, is collected and retained by Xanthos Systems to administer the Platform and its usage. For example, such information may include the following:
Account Establishment Information
In order to establish an account, information such as name, address, phone number, and e-mail address will be furnished online by an Insured Employer and/or designated Employee to whom the Insurer has authorized the Platform be made available.
Account Usage Information
This includes information generated by usage of the Platform by both Insured Employers and Employees, and information stored on the Platform by the Insured Employer.
How Information Is Used
Account usage information and certain account establishment information provided by Employees will be disclosed to their employer and to the Insurer. Also, some of this information will be provided to certain Related Parties if so designated by the Insurer with which the Insured Employer participates, such as the Insured Employer’s insurance broker, trade associations and the like. Aggregated anonymous information and statistics resulting from Platform usage will be used by Insurer and Xanthos Systems in their respective businesses and may be shared with their affiliates and third parties. Xanthos reserves the right to use this information for any reason necessary to the operation or administration of the service or the web site. It is Xanthos Systems' intention that the administration of the Platform will not require that the personal information be disclosed or used by third parties not affiliated with Xanthos Systems, the Insurer and the Insured Employer. However, Xanthos Systems may disclose information when required under legal process or by regulatory officials, or when otherwise compelled by law.
Parties To Whom Information May Be Disclosed
Certain personal information that is collected and generated may only be disclosed to third persons or entities authorized by the Insurer or the Insured Employer. Those persons or entities will be affiliated with: (1) Xanthos Systems or entities related to it and involved in the maintenance or administration of the Platform; (2) the Insurer, i.e., members of any insurance group of which it is a member, and other entities with whom it does business relating to worker’s compensation; or (3) the Insured Employer, i.e., members of any ownership group of which it is a member. It is the general intent of Xanthos Systems that no such information be distributed to third parties except as described here or as otherwise required by law.
Confidentiality and Security
Xanthos is committed to protecting the security of its customers' personal information, and we have put in place various electronic safeguards and managerial process to prevent unauthorized access or disclosure, maintain data integrity, and help ensure the appropriate use of information. Xanthos Systems maintains personal information on secured computers and all Insured Employer accounts are password protected. Of course, no such security and safeguards are 100% effective, but Xanthos Systems will use its best efforts to employ state of the art security measures to protect its customers' personal information. Xanthos Systems does not sell, trade, or rent personal information to others. No personally identified information is knowingly disclosed to third parties except to affiliated parties, as described herein. No other third party will have access to any such personal information unless granted by the Insured Employer or Insurer. Employees are limited to assessing only that personal information that is necessary to perform their job functions.

Cookies
To enhance our customers' experience with our site, Xanthos Systems may place a small text file called a "cookie" on a user's computer hard-drive to store user's preferences. Users can examine and delete the cookie files on their computer at any time.
